Position: Tahoe Family Solutions (TFS) Operations Assistant
Reports to: TFS Executive Director
FLSA Status: Part-time, hourly (24-30 hours per week)
Salary: $26 – $30 (Depending on Experience)

SUMMARY:
Under the directions of the Executive Director, the Operations Assistant supports the daily operations of an organization by performing administrative, operational, and coordination tasks to ensure smooth workflow and efficiency. Staying rooted in the mission, values, and commitments to equity and community impact, they will also collaborate with program leadership to ensure operational infrastructure supports consistent, high-quality services across all sites and programs.
Key Responsibilities:
Operations Assistants are responsible for a wide range of tasks that help maintain organizational efficiency and support management teams. Responsibilities include:
- Assisting with daily operational tasks such as scheduling appointments, coordinating meetings, and organizing files and documents
- Support of Board of Directors, documentation, onboarding, communication, and reporting
- Managing communications and correspondence between departments, clients, donors and vendors
- Maintaining and updating databases, spreadsheets, and reports for grant reporting and organizational metrics, and other operational data
- Supporting project management tasks and helping prepare operational reports and presentations
- Managing inventory, ordering office supplies, and ensuring resources are available
- Assisting in recruitment, onboarding, and training of new employees
- Acting as a point of contact for internal and external stakeholders, resolving inquiries and providing information
- Periodically attend community and outreach events to support program outreach, community awareness, and program enrollment
- Provide logistical support and assistance with TFS Fundraising events as needed.
- Assist donor database, grant writing and reporting.
- Other duties as assigned
Minimal Qualifications:
- Strong organizational and multitasking abilities
- Excellent verbal and written communication skills
- Proficiency in MS Office Suite and data management software
- Understanding of office management systems and procedures
- Bachelor’s degree preferred. High school diploma or equivalent required
- Previous experience in administrative or operations roles is often preferred but not always required
- Supportive of a culturally diverse environment and staff. Spanish skills preferred.
- Completion of State of Nevada and FBI background checks and Child Abuse Prevention Training with results that meet our internal policy and standards.
- Reliable transportation required
